Tips & Guidelines for Weddings
Things I'll need to know in advance
I'll send you a quick questionnaire for essential details that I'll need. It will include:
A list of formal family/friends portrait photos.
Any special items that you'll be wearing / using on the day.
Any surprises that you might include at any part during the day.
Time available for photos and when (eg during canapés/coktails).
How you can help
Prepare a formal photos list and have somebody on hand to help with the organising. A bridesmaid or groomsman are usually best, or somebody that knows famaily and friends from both sides.
It can sometimes make it impossible to capture the couple walking back down the aisle if guests step into the centre to take their own photos. If your exit down the aisle is important to you ask the celebrant to mention it to guests before the ceremony starts.
Advice during a wedding ceremony
During the ceremony be natural. Don't look at the camera. It can look a bit odd if you're looking at me rather than your partner 😁
If you're feeling nervous use your partner to help you out! Hold their hand, look them in the eye and relax.
You'll be surrounded by friends and family that have made the effort to come and celebrate your wedding. Many will have travelled from abroad. If you can include any of them in the ceremony it can mean a lot to them. Acknowledge them during the ceremony, look at them as well as your partner, and enjoy their presence there for you.
Close friends can add a personal touch to your ceremony by doing a reading. For smaller ceremonies something like the ring ritual can make everybody feel involved.

My Style
During the day there'll obviously be moments when I ask you to look at the camera - epecially for the couples and family photos. There'll be times when I shout for your attention. But for the most part my style tends to be documental - capturing the natural emotions of the day. Immediately after the ceremony, during the reception and party, enjoy your day with your family and friends and I'll be busy capturing all of the raw emotion. A comment I like to hear is how couples are re-living the day through their photos and are surprised at many of the photos as they weren't even aware I was taking them.
This doesn't mean I won't be organising groups and posed photos. That's a big part of the job. We'll organise a time for some posed portraits with family and friends and I'll be available for you during the event for spontaneous group photos - call me when you need me!
Family and Friends taking photos
Families and friends are welcome to take photographs of the event whenever they wish - the more the merrier! But I do ask that they don't interfere in the work of the person/team responsible for the professional photos and/or video. For example, if for every family portrait we take you also have to wait for 3 or 4 people to take photos with their mobile afterwards you'll find the whole process takes much longer and in turn this means we have less time to get natural photos of you with your guests, and you'll also have less time to relax and enjoy your day.
The online gallery you receive can easily be shared with all your friends and family and they're free to download as many photos as they like.
My photojournalistic style will include natural photos during the day and I'll do my very best to include all of your guests and make them feel included. Please let me know if there are people you'd like me to be more aware of and give them more coverage.
The Contract
My contract with you the client
Tony Wilkinson commits and accepts this assignment with the following conditions:
An enquiry from a client does not guarantee a reserved date/time until a deposit has been paid to secure the booking/photo session.
The final processed images will be delivered not more than 60 days after the date of photoshoot.
The Photographer retains the right to choose which images are edited and delivered.
The clients accept that due to environmental circumstances -like rain, snow, clouds, lack of light, excessive or poor lighting conditions in the places or other circumstances, like delays by the Clients or other people, lack of time necessary to carry out the work due to these delays or influences of third parties such as the priest/celebrant, guests or others- can result in the final images delivered being different from those imagined and seen in other works.
The venues where the photographs are taken (houses, church, restaurant...) are the ones chosen by the clients. In case of any flaws or superficial details appearing on floors, ceilings, windows, or if any unpleasing elements exist, while the photographer will make every effort to omit these he/she shall not be liable if those are reflected in the image.
The Clients have a period of time of SEVEN days from the delivery of the work to express in writing, if such is the case, their disagreement regarding the work delivered. Once that time has been completed, the work will be understood as accepted.
Replacement of the photographer. If for any reason of force majeure (illness, accident ...) Tony Wilkinson cannot attend the agreed day, he may carry out the substitution by another associate, as long as the client consents this. If the client wishes, Tony Wilkinson will refund the entire amount of money received up to the moment.
Tony Wilkinson is not responsible for failing to deliver "expected" photographs due to interference from guests, staff, or members of the public during an event, or any limitations imposed by the venue's management.
Photographic style
The Clients accept the style of photography developed by Tony Wilkinson and declare to know and assume it. They recognise that it is a documentary, natural and photojournalist style, and accept the style shown at that given moment on the website tonywilkinsonphotography.com
Re-Touching
Unless previously agreed, and with the exception of creative lighting portraits, the delivered photos will be processed to be authentic to the day of the photoshoot and will reflect the genuine conditions with enhancements at the discretion of the photographer/processor.
Portrait sessions are priced to include a greater degree of re-touching and enhancements to each photo.
Weddings/events which will include a higher number of delivered images will have a limited number of images which receive extra enhancements, at the discretion of the photographer.
Once the images have been delivered a client may request a quote for any additional re-touchig they require.
Client Responsibilities
The Client agrees to arrive on time and prepared.
The Photographer is not responsible for missed shots due to lateness or non-cooperation.
The Client agrees to inform the Photographer of any specific shots or needs prior to the session.
The Photographer is not responsible for missed shots due to late arrivals, restricted access, uncooperative members of the group, or lack of coordination.
Cancellation and Rescheduling
If the Client cancels the session, the booking fee is non-refundable.
Rescheduling may be possible subject to availability and must be done at least 2 days in advance.
In the event of cancellation by the Photographer due to illness or emergency, all payments will be refunded or rescheduled.
Copyright and Usage
All images remain the copyright of the Photographer.
The Client receives a personal-use license unless otherwise specified.
Commercial use, resale, or editing of images is prohibited without written consent.
The clients authorise Tony Wilkinson to use the works exclusively for promotional purposes only, such as portfolio, website and social media, unless the Client explicitly opts out in writing. The commercialisation of such works without the express authorisation of The Clients is expressly prohibited.
Liability and Limitations
The Photographer is not liable for circumstances beyond their control (e.g., weather, equipment failure).
In the extremely unlikely event of total image loss or camera failure, liability is limited to a full refund.
The Photographer is not responsible for the quality of prints not ordered through them.
Model Release
The Client grants the Photographer permission to use images for promotional and portfolio purposes unless stated otherwise in writing. This includes social media, website, print, and online marketing.
Data Privacy
Personal information collected will be used solely for booking, communication, and image delivery.
The Photographer will not share personal data with third parties without consent.
By booking a session, the Client agrees to these Terms and Conditions.
Extra Considerations for Weddings and Events:
All of the above, previously stated terms and conditions apply. The following is in addition to the above, and to clarify the terms and conditions for weddings and events.
Cancellation and Rescheduling
In the event that the celebration of the wedding/event is suspended, Tony Wilkinson will not return the money of the reservation fee under any circumstances, as reserving the date with anticipation means rejecting other works and a consequent loss of income.
In case of modification of the wedding date for reasons of major cause, Tony Wilkinson will make every effort to accommodate the new date, subject to availability.
The contract will be maintained for the same purposes as long as the clients agree with Tony Wilkinson on a date that is available. If the Photographer cannot accommodate the rescheduled date, the retainer will be forfeited.
Schedule and Cooperation
The Client agrees to provide a detailed timeline and list of important moments at least 14 days prior to the event.
The Client is responsible for securing permission to photograph at all event locations.
The photographer (Tony Wilkinson) shall not be responsible for failure to deliver images of specific people at the event unless previously indicated in writing or in the questionnaire sent previous to the wedding.
Image Delivery and Turnaround
A sneak peek or preview may be delivered within 5 days of the event.
Full edited galleries will be delivered within approximately 8 weeks after the date of the wedding. The images will be delivered digitally via an online gallery with download service. There is the option to request additional photo books / albums and prints at an extra cost direct from the gallery.
The Photographer retains the right to select the best images for editing and delivery. Unedited RAW files are not provided.
Tony Wilkinson is not liable for being unable to deliver any ‘expected’ photographs due to the intervention of guests, staff or members of the public during the event, or for any limitations imposed by those responsible for the chosen venue.
Copyright and Usage
All images remain the copyright of the Photographer.
The Client is granted a personal-use license for sharing and printing images.
Commercial use (e.g., for vendors, publications) requires written permission.
The Photographer may use images for portfolio, promotional, and marketing purposes unless the Client opts out in writing prior to the event.
Vendor Meals and Breaks
For events exceeding 6 hours, the Client agrees to provide a reasonable break time for the Photographer and any assistants. While not obligatory, for longer events a meal being supplied is very much appreciated.
Limitation of Liability
In the unlikely event of illness, injury, or other emergency, the Photographer reserves the right to substitute a qualified replacement photographer or issue a full refund.
The Photographer is not liable for any indirect damages or loss of images due to technical malfunction, acts of God, or circumstances beyond control.
Liability is limited to the amount paid for services.
Client Responsibilities
The Client will designate a point-of-contact to assist the Photographer in organizing group photos.
The Client agrees to ensure cooperation from all participants and guests. In the event of an uncooperative guest the photographer can not be liable for any loss of images or spolied images.
Should the photographer feel threatened in any way by participants/guests at an event the contract will be immediately terminated and no refunds of fees will be given.
It is a natural expectation that all guests at the event are willing to be photographed. In the case of guests unwilling to be photographed the photographer can not be responsible for any 'expected' images which are not taken, or for images adversly affected or unavailable because of this.
The photographer is not responsible for the non-delivery of images of specific people present at the event along with the bride and groom, unless the client indicates it beforehand in writing, or in one of the previous meetings, or in the questionnaire sent prior to the wedding.
